This policy explains what Ace Coach collects, why, and the choices you have. Ace Coach is run by Dhawal Upadhyay, Bengaluru, India, who is responsible for your data. Contact: [email protected].

What we collect

• Account: your name and email address, and your Google account ID if you sign in with Google.
• Practice data: the video and audio you record in the app, transcripts of what you said, measurements of your voice and on-camera delivery, the feedback we generate, your goals and the answers you give during setup.
• Billing: your plan and payment status. Card details are handled by Dodo Payments and never reach us.
• Support and diagnostics: messages you send, and, only if you choose to include them, app version, macOS version and error logs with personal details removed.

How we use it

Only to run Ace Coach for you: to review your practice, track your progress, keep your account and subscription working, answer support requests and keep the service secure. We don't sell your data, we don't use it for advertising, and we don't use your recordings to train AI models.

Who processes it for us

We use these service providers, each only for the job listed:

• Amazon Web Services (United States): servers, storage, sign-in and email.
• AI model providers, such as Anthropic and OpenAI: writing feedback from your transcript, measurements and video frames.
• Groq: turning your speech into text.
• ElevenLabs, through OpenRouter: the voices of the practice interviewer and coach.
• Google: sign-in, if you choose it.
• Dodo Payments: checkout, billing and tax, as merchant of record.
• Cloudflare: this website and our email forwarding.

Your data may be processed outside your country, including in the United States.

How long we keep it

• Raw video and audio recordings: 30 days, then deleted. Older reviews keep their transcript, numbers and feedback but can no longer play the clip.
• Transcripts, feedback, goals and progress: until you delete them or your account.
• Backups: up to 30 days after deletion.
• Billing records: as long as tax law requires.

Your choices and rights

You can ask for a copy of your data, correct it, or delete your account and everything in it by emailing [email protected] (in-app export and deletion are coming). We'll respond within 30 days. Depending on where you live, you may have more rights under laws such as India's DPDP Act or the GDPR, including the right to complain to a regulator.

Camera and microphone

Ace Coach only uses your camera and microphone while you are in a practice session or setup check, after you allow it in macOS.

Children

Ace Coach is not for anyone under 18.

Changes

If we make important changes we'll tell you by email or in the app before they take effect.
